Job Title: Quality Assurance Manager

Department: Quality Assurance
Reports To: Chief Operating Officer (COO)
Direct Reports: QA Executive, QA Officer, QA/QC Inspector

Job Purpose

Lead and manage the company’s Quality Assurance function to ensure full compliance with food safety standards, regulatory requirements, and internal quality systems. This role is critical in maintaining certifications, managing audits, driving continuous improvement, and supporting operational excellence.


Key Responsibilities

1. Food Safety & Certification Management

  • Lead and maintain certifications including FSSC 22000, HACCP, GMP, and Halal
  • Manage external audits with certification bodies
  • Ensure timely renewal of all certifications
  • Respond to Corrective Action Requests (CARs) within required timelines

2. Quality Systems & Compliance

  • Ensure compliance with Malaysian food regulations and export requirements
  • Review, update, and maintain Food Safety Management System (FSMS) documentation
  • Ensure proper implementation of monitoring and verification activities
  • Oversee product testing to meet quality and safety standards

3. Customer & Regulatory Audits

  • Manage audits from customers and regulatory authorities
  • Coordinate audit schedules and ensure audit readiness
  • Ensure timely closure of audit findings and CARs

4. Customer Complaints & Quality Issues

  • Oversee investigation of customer complaints
  • Review root cause analysis and corrective actions
  • Ensure effectiveness of corrective and preventive measures

5. Internal Audit & Continuous Improvement

  • Lead internal audits and mock recall exercises
  • Develop and execute audit plans
  • Issue CARs and monitor closure timelines
  • Prepare audit reports and drive continuous improvement initiatives

6. Leadership & Team Management

  • Lead, coach, and develop the QA team
  • Conduct regular team meetings and resolve issues
  • Perform half-yearly performance evaluations
  • Promote effective communication on food safety and quality matters

7. Reporting & Management Engagement

  • Prepare and present monthly QA reports and KPIs
  • Participate in management meetings
  • Provide updates on QA performance, risks, and improvement plans

8. Budgeting & Resource Planning

  • Develop and manage annual QA budgets (OPEX & CAPEX)
  • Monitor departmental spending and resource utilisation

9. Supplier & Material Quality Control

  • Approve new raw and packaging materials
  • Conduct supplier audits to ensure compliance

10. Operational Support

  • Verify sales samples before customer submission
  • Approve QA-related expenses and invoices
  • Manage leave and overtime approvals for QA staff

Job Requirements

  • Bachelor’s Degree in Food Science, Food Technology, or related field
  • Minimum 7 years’ experience in QA/QC within food manufacturing
  • Mandatory experience in ISO 22000 and HACCP
  • Experience in FSSC 22000 is an advantage
  • Strong working knowledge of GMP and Halal compliance
  • Proven track record in managing audits, certifications, and regulatory compliance
  • Strong leadership, analytical thinking, and attention to detail
  • Good communication and interpersonal skills
