POSITION: BUYER (INDIRECT)
Job Descriptions:
Procurement of Direct Materials:
• Identify and evaluate potential suppliers for direct materials required in production.
• Create and manage purchase orders for direct materials in line with production requirements.
• Monitor inventory levels and ensure materials are delivered in a timely manner to prevent production delays.
• Negotiate with suppliers on pricing, delivery schedules, and payment terms to ensure the best value for the company.
• Monitor market trends to identify cost-saving opportunities without compromising quality or delivery timelines.
Procurement of Indirect Materials:
• Manage the procurement of indirect materials and services, including office supplies, maintenance, equipment, and utilities.
• Identify suppliers for non-production-related materials, ensuring quality, pricing, and delivery standards meet operational needs.
• Coordinate with internal departments to understand their indirect material needs and establish budgetary guidelines.
• Track and control expenses related to indirect material procurement to stay within the allocated budget.
• Coordinate documentation and process on vendor registration.
• Regularly assess supplier performance based on quality, cost, and delivery metrics.
• Work closely with suppliers to resolve any issues related to product quality, delivery delays, or other performance concerns.
• Negotiate and manage contracts with suppliers for both direct and indirect materials.
• Work with the supply chain and production teams to monitor stock levels and manage material replenishment schedules.
• Ensure that optimal inventory levels are maintained to meet production needs while avoiding overstocking or stockouts.
• Collaborate with production and operations teams to understand material requirements and forecast demand for both direct and indirect materials.
• Assist in creating a supply plan to ensure material availability aligns with production schedules.
• Ensure compliance with relevant industry regulations, safety standards, and company policies in the procurement of all materials.
• Maintain accurate records of all procurement transactions, purchase orders, and supplier agreements.
• Prepare and maintain procurement-related reports, including inventory levels, order status, supplier performance, and cost savings.
• Provide regular updates to management on procurement activities and material availability.
• Liaise with internal departments, including production, quality control, and finance, to ensure material requirements are met and any issues are addressed promptly.
• Participate in meetings to discuss material needs, production schedules, and cost-saving initiatives.
• Communicate with suppliers regarding order specifications, delivery schedules, and quality expectations.
• Ensure clear and timely communication to prevent disruptions in the supply chain.
• Support the implementation of lean initiatives and continuous improvement projects within the department and company.
• Perform other duties as assigned.
• You are authorized to act within the jurisdiction and capacity in your job scope to deliver the results/output expected of your job function.
Requirements:
• Bachelor’s degree in supply chain management, Business Administration, Logistics, or a related field.
• Professional certification in procurement or supply chain management (e.g., CIPS) is an advantage.
• Minimum of 3 years of experience in procurement, purchasing, or supply chain management, ideally in a manufacturing or Pharmaceutical industry.
• Experience in managing both direct and indirect material purchasing is highly preferred.
• Strong understanding of procurement processes, vendor management, and contract negotiation.
• Knowledge of inventory management systems and materials planning.
• Proficient in Microsoft Office (Excel, Word, PowerPoint) and purchasing software or ERP systems (e.g., SAP, Oracle).
• Strong analytical and problem-solving skills with the ability to evaluate suppliers and make datadriven decisions.
• Proficiency in English and Bahasa Malaysia (both written and spoken).
• Excellent negotiation, communication, and interpersonal skills.
• Strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
• A proactive and solution-oriented approach to problem-solving.
• Ability to work independently and collaboratively with cross-functional teams.
• A keen eye for cost-saving opportunities and the ability to balance quality with financial goals.
• Strong time management skills to handle multiple tasks and meet deadlines efficiently.
