Special Officer / Personal Assistant to Chairman (Tan Sri)
Location: Primary travel between KL & JB (occasional travel to Pahang)
Salary: RM6,000 – RM8,000 per month (Commensurate with experience)
Job Summary
We are seeking a highly resourceful, flexible, and dedicated Special Officer / Personal Assistant to provide high-level personal, executive, and logistical support to a senior executive (Tan Sri). This role requires accompanying the Chairman on cross-state business trips, managing a dynamic schedule (including weekends and extended hours), and maintaining seamless daily operations with the utmost confidentiality.
Key Responsibilities
1. Executive & Personal Support

Act as a close personal aide, accompanying the Chairman on all business trips, meetings, and site visits (primarily KL, JB, and Pahang).

Manage daily scheduling, calendar, appointments, and personal tasks, ensuring optimal time management and smooth transitions.

Handle all personal and official arrangements with complete discretion, loyalty, and confidentiality.
2. Travel & Logistical Coordination

Arrange and oversee complex travel logistics, including transportation, accommodation, meal arrangements, and itinerary packs.

Ensure prompt readiness and seamless coordination whenever accompanying the Chairman on domestic travel.
3. Communication & Stakeholder Liaison

Screen incoming calls, manage visitors, and handle high-level correspondence with key stakeholders, corporate leaders, and external associates.

Draft, review, and handle meeting materials, briefings, and confidential documents.
4. Daily Administrative & Project Operations

Assist with meeting preparations, action item follow-ups, and project coordination across various locations.

Maintain accurate digital and physical record systems, handling administrative requests efficiency.
Requirements

Education: Bachelor’s Degree in Business Administration, Management, Law, Secretarial Studies, or a related discipline.

Experience: Minimum 2 years of relevant experience in an executive supporting role (Fresh/Junior candidates with strong aptitude are welcome).

Age Profile: Preferred aged between mid-20s to early 30s.

Language Skills: Excellent command of English and Bahasa Malaysia. Fluency in Mandarin/Chinese dialects is highly preferred to facilitate communication with stakeholders and senior management.

Gender Preference: Male candidates are preferred due to frequent cross-state travel, late hours, and personal tagging responsibilities.
