Job Description

Job Summary: Operates as a sole HR generalist managing end-to-end HR operations, including recruitment, payroll, statutory compliance, employee relations, and administrative functions.

Key Responsibilities:
-
Recruitment & Manpower Planning: Oversee end-to-end recruitment process from requisition, candidate sourcing, screening, and interviews to offer preparation. Coordinate pre-employment checks, monitor hiring status, and manage recruitment reports.

Onboarding & Offboarding: Coordinate employee induction, HR policy briefings, access/system setup, and uniform distribution. Manage resignations, exit interviews, clearance, and document updates across the employee lifecycle.

Payroll & Statutory Matters: Execute monthly payroll processing, verifying attendance, OT, leave, allowances, and deductions. Process statutory submissions (EPF, SOCSO, EIS, PCB) and maintain payroll records for audit purposes.

Attendance & Leave Administration: Monitor working schedules, overtime, and absenteeism. Maintain attendance/leave records (annual, medical, emergency) in the HR system and handle attendance irregularities.

Employee Benefits & Insurance: Administer benefits including GHS, GPA, and medical coverage. Coordinate insurance renewals, claims, employee additions/deletions, and policy coverage with brokers.

Employee Relations & Compliance: Address day-to-day HR queries and guidance. Handle disciplinary documentation (show-cause/warning letters, domestic inquiry) and employee grievances in alignment with Malaysian employment laws.

Training & HRDC: Identify training needs, organize internal/external training programs, manage HRDC registrations and claims, and maintain employee training history/matrices.

Performance Management: Coordinate probation monitoring, confirmation timelines, and annual performance appraisal documentation.

HR Policies & Foreign Worker Administration: Develop and update HR SOPs/handbooks. Coordinate employment passes, visas, and renewals for foreign workers while liaising with immigration authorities.

General HR Support: Maintain accurate employee Master Data, produce HR analytics for management, and organize employee engagement activities/events.

Requirements:
-
Diploma or Degree in Human Resource Management, Business Administration, or a related field.
-
Minimum 3 years of relevant HR experience, ideally in a generalist or payroll-focused role.

Solid knowledge of the Malaysian Employment Act 1955, EPF, SOCSO, EIS, and PCB requirements.

Mandatory: Hands-on experience administering an HR/payroll system (e.g., EMPLX or similar).

Proficient in Microsoft Office, particularly Excel (lookup functions, aggregate formulas, and pivot tables).

High level of integrity, meticulous data management skills, and strong written/verbal communication in English and Bahasa Malaysia.

Ability to work independently as a sole HR practitioner; own transport is preferred due to location.
