Position Summary

The Supply Chain Executive is responsible for managing procurement, supplier coordination, import logistics, and shipping documentation to ensure the timely and cost-effective movement of materials and products. This role works closely with local and overseas suppliers, freight forwarders, and internal stakeholders to maintain supply continuity, regulatory compliance, and operational efficiency throughout the supply chain.


Key Responsibilities

Procurement & Supplier Management

  • Source and evaluate new suppliers based on quality, cost, delivery performance, and business requirements.
  • Obtain quotations, compare pricing, and recommend suppliers to achieve cost-effective procurement.
  • Negotiate pricing, payment terms, lead times, and supply agreements with overseas suppliers, particularly those based in China.
  • Prepare, issue, and process purchase orders in accordance with company policies and procurement procedures.
  • Build and maintain strong relationships with suppliers to support long-term business objectives.

Supply Chain & Logistics Coordination

  • Coordinate and monitor inbound import shipments via sea, air, and land transportation.
  • Liaise with suppliers, freight forwarders, shipping agents, and customs brokers to ensure smooth shipment execution.
  • Track shipment schedules and proactively communicate shipment status and potential delays to relevant stakeholders.
  • Ensure products meet agreed specifications, packaging, labeling, loading, and documentation requirements before shipment.

Import & Trade Compliance

  • Prepare, review, and verify shipping documentation including:
    • Commercial Invoice
    • Packing List
    • Bill of Lading
    • Delivery Orders
    • Import permits and other regulatory documents
  • Ensure compliance with Malaysian import regulations, customs requirements, and Licensed Manufacturing Warehouse (LMW) licence obligations.
  • Maintain complete and accurate documentation for audit and regulatory purposes.

Supplier Performance & Quality Control

  • Monitor supplier performance in terms of quality, delivery, responsiveness, and service levels.
  • Coordinate investigations and corrective actions for supplier non-conformance issues.
  • Work with internal stakeholders and suppliers to resolve product quality concerns and negotiate appropriate corrective measures or compensation where necessary.

Documentation & Administration

  • Maintain organized procurement and shipping records.
  • Prepare reports relating to purchasing activities, shipment status, supplier performance, and inventory movements.
  • Ensure all procurement and logistics documentation is accurate, complete, and properly filed.

Continuous Improvement

  • Identify opportunities to improve procurement processes, logistics efficiency, and supplier performance.
  • Support supply chain optimization initiatives that enhance operational effectiveness and cost savings.
  • Perform any other duties assigned by management from time to time.

Qualifications

  • Diploma or Bachelor's Degree in Supply Chain Management, Logistics, Business Administration, International Trade, Procurement, or a related discipline.
  • Minimum 2 years of relevant working experience in procurement, supply chain, logistics, import/export operations, or freight forwarding.
  • Experience managing end-to-end supply chain activities, from raw material sourcing to final product delivery.
  • Working knowledge of Malaysian import procedures, customs regulations, and Licensed Manufacturing Warehouse (LMW) requirements.
  • Experience coordinating international shipments via sea, air, and land freight.
  • Familiarity with shipping documentation and customs clearance processes.

  • High level of accuracy and attention to detail.
  • Ability to manage multiple priorities and work under tight deadlines.
  • Proficient in Microsoft Office applications, particularly Excel.
  • Experience using ERP, procurement, or inventory management systems is an advantage.
  • Good written and verbal communication skills in English and Mandarin to effectively coordinate with Mandarin-speaking suppliers.
