Purchasing & Planning Executive

Job Summary

The Purchasing & Planning Executive is responsible for coordinating production planning, material procurement, inventory management, and supplier performance to ensure uninterrupted manufacturing operations. This role plays a critical part in balancing customer demand, production capacity, material availability, and inventory levels while supporting overall supply chain efficiency and on-time delivery performance.

Key Responsibilities

Production Planning

  • Develop, maintain, and monitor production schedules based on customer forecasts, sales orders, inventory levels, and manufacturing capacity.
  • Coordinate with Production, Warehouse, Engineering, and Sales teams to ensure smooth execution of production plans and delivery commitments.
  • Track production progress and make necessary adjustments to schedules to address changing priorities and operational requirements.
  • Analyze production capacity, resource utilization, and workflow constraints to identify and mitigate potential bottlenecks.
  • Generate, review, and maintain Material Requirements Planning (MRP) reports to ensure timely material availability.
  • Support demand planning and forecast accuracy improvement initiatives.

Purchasing & Procurement

  • Source, evaluate, and negotiate with suppliers on pricing, quality, lead time, delivery performance, and commercial terms.
  • Prepare and issue Purchase Orders (POs) in accordance with procurement procedures and business requirements.
  • Monitor supplier delivery schedules and follow up on outstanding orders to ensure timely material supply.
  • Coordinate urgent purchases and expedite critical materials when required.
  • Develop and maintain effective supplier relationships while identifying alternative sourcing options to reduce supply risks.
  • Conduct supplier performance evaluations and participate in supplier improvement initiatives.

Inventory Control

  • Monitor inventory levels and material consumption to ensure adequate stock availability while minimizing excess inventory.
  • Review inventory reports, including slow-moving, excess, and obsolete stock, and recommend corrective actions.
  • Coordinate inventory replenishment activities to support production requirements and customer demand.
  • Ensure inventory records and planning data are accurate, current, and aligned with operational requirements.
  • Participate in inventory audits, cycle counts, and stock reconciliation activities.

Coordination & Reporting

  • Collaborate closely with Production, Quality, Engineering, Warehouse, and Logistics teams to resolve supply chain and material-related issues.
  • Prepare weekly, monthly, and ad hoc reports on purchasing activities, production planning status, inventory performance, and supplier metrics.
  • Monitor and analyze key supply chain KPIs such as on-time delivery, inventory turnover, supplier performance, material shortages, and forecast accuracy.
  • Support continuous improvement initiatives focused on cost reduction, process efficiency, inventory optimization, and supply chain effectiveness.
  • Participate in cross-functional projects aimed at improving operational performance and customer satisfaction.

Job Requirements

  • Diploma or Bachelor's Degree in Supply Chain Management, Logistics, Procurement, Business Administration, Manufacturing Engineering, Industrial Engineering, or a related discipline.
  • Minimum 2–5 years of experience in Purchasing, Procurement, Production Planning, Material Planning, Inventory Management, or Supply Chain functions.
  • Experience in a manufacturing environment is preferred.
  • Familiarity with ERP, MRP, or other planning and inventory management systems.
  • Strong analytical, planning, negotiation, and problem-solving skills.
  • Good communication, coordination, and stakeholder management abilities.
  • Proficient in Microsoft Office applications, particularly Microsoft Excel.
  • Able to work independently, prioritize tasks effectively, and perform under tight deadlines.
  • Strong attention to detail and ability to manage multiple priorities simultaneously.

Preferred Qualifications

  • Knowledge of ISO 9001, IATF 16949, or other manufacturing quality management systems.
  • Experience managing local and international suppliers.
  • Understanding of import/export procedures, shipping documentation, and logistics coordination.
  • Familiarity with inventory control methodologies, demand planning, and supply chain optimization practices.
  • Experience in cost reduction initiatives and supplier development programs.
